This policy explains what personal information East Drive Associates Ltd collects through eastdrive.com and when you contact us, why we collect it, how long we keep it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

East Drive Associates Ltd (“we”, “us”) is the controller of your personal information. Registered in England and Wales, company number 06668055. Registered office: 28 East Drive, Brighton BN2 0BQ, United Kingdom.

You can contact us about this policy or your personal information at getintouch@eastdrive.com or on 020 7558 8845.

What we collect

When you contact us

If you email or phone us, we collect the details you give us: usually your name, email address, phone number, the content of your message, and anything else you choose to include.

When you visit the website

Like most web servers, ours automatically records technical information about each request: your IP address, the date and time, the page requested, your browser and device type, and the page that referred you. We use this only to keep the site running and secure.

If you agree to analytics cookies, Google Analytics also collects information about how you use the site: the pages you view, how long you stay, how you arrived (for example from a search engine or a link), your device and browser type, and your approximate location (country or city, worked out from your IP address).

Cookies and analytics

We use Google Analytics to understand how visitors use the site, so we can improve it, but only if you agree. When you first visit, a notice asks for your choice. Google Analytics does not load, and no analytics cookies are set, unless you click Accept. We do not use advertising or other tracking tools.

The cookies the site can set are:

  • klaro (necessary): remembers your cookie choice, so we don’t ask again. Kept for 180 days.
  • _ga and _ga_2RN3SCJJEB (analytics, only with your consent): set by Google Analytics to tell visits apart. Kept for up to two years.
  • A session cookie (necessary), set only when a site administrator logs in.

You can change your choice at any time using the “Cookie settings” link at the bottom of every page, or by deleting cookies in your browser.

How we use your information and our lawful basis

  • To reply to your enquiry and discuss work you have asked us about. Lawful basis: taking steps at your request before entering into a contract, or our legitimate interest in responding to people who contact us.
  • To provide our services if you become a client. Lawful basis: performance of a contract.
  • To keep the website secure and working (server logs). Lawful basis: our legitimate interest in protecting our systems.
  • To understand how the website is used (Google Analytics). Lawful basis: your consent, which you can withdraw at any time.
  • To meet legal obligations, such as keeping business and accounting records. Lawful basis: legal obligation.

We will not send you marketing without your consent. We do not sell your information, and we do not use it for automated decision-making or profiling.

Who we share it with

We only share your information where necessary:

  • with our hosting provider, which runs the servers for our website and email on our behalf;
  • with Google, which provides Google Analytics on our behalf, if you have agreed to analytics cookies;
  • with professional advisers, such as our accountants, where needed for our client work;
  • with authorities, if we are required to by law.

Where your information is stored

Our website and email are hosted on servers in London, United Kingdom.

If you agree to analytics cookies, Google may process Google Analytics data in the United States. That transfer is protected by the UK Extension to the EU–US Data Privacy Framework (the “UK–US data bridge”) and Google’s data processing terms. If we ever need to transfer your information outside the UK in any other way, we will make sure it is protected by appropriate safeguards, as UK GDPR requires.

How long we keep it

  • Web server logs: about six weeks, then deleted automatically.
  • Google Analytics data: 14 months, then deleted automatically by Google.
  • Enquiries that do not lead to work: no more than nine months after our last contact.
  • Client records: six years after our work together ends, to meet legal and tax requirements.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use it;
  • object to us using it on the basis of legitimate interests;
  • ask for your information in a portable format;
  • withdraw consent at any time, where we rely on consent.

To exercise any of these rights, contact us at getintouch@eastdrive.com. There is no charge, and we will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Security

The website is served over an encrypted connection (HTTPS), access to our systems is restricted, and we keep our software up to date. No method of sending information over the internet is completely secure, but we take reasonable steps to protect what you send us.

Our site may link to other websites. We are not responsible for their privacy practices, so please read their privacy policies.
